Established in January 2002, PubAffairs is the premier network and leading resource for the public affairs, government relations, policy and communications industry.

The PubAffairs network numbers over 4,000 members and is free to join. PubAffairs operates a general e-Newsletter, as well as a number of other specific group e-Newsletters which are also available to join by completing our registration form.

The PubAffairs e-Newsletters are used to keep members informed about upcoming PubAffairs events and networking opportunities, job vacancies, public affairs news, training courses, stakeholder events, publications, discount offers and other pieces of useful information related to the public affairs and communications industry.

The Whitehall & Industry Group (WIG) is a charity – not for profit, but for purpose; driven by a team passionate to improve mutual understanding and constructive collaboration between government, business and the not-for-profit sector. We help leaders in all sectors in the UK come together in a safe space to learn from each other, discuss mutual challenges, and help them work more effectively together. The end goal is better government, business better informed and ultimately a society better served.

We do this through a range of activities:

  • Events and networks - to explore latest policy and share best practice, both from the public and private sectors;
  • Talent - through mentoring, secondments, non-executive appointments and charity trustee roles;
  • Leadership Programmes - for future leaders, high potential managers and senior directors.

Our membership consists of c. 220 organisations – comprising top FTSE and professional services companies, central government departments and agencies, local authorities, universities and charities. WIG has 24 staff based in its London office. Founded in 1984 our turnover is approx. £1.9m p.a. 

Context

This exciting new role will allow the successful candidate to work in 2 key areas of WIG, 50% in the leadership team and 50% in the membership team. The role will involve providing administrative support in terms of managing member and participant information, liaising with external stakeholders, and planning for programme delivery. Through organisational membership of WIG, individuals are able to tap into a rich array of briefings, networking events, roundtable discussions, seminars and leadership programmes. We take pride in how we look after our members, helping them to benefit fully from WIG membership, meeting and learning from peers across the sectors. We have been running leadership programmes for over 20 years.

Job Description

Responsibilities:

The role will involve supporting the Leadership team for 50% of the time through:

  • Assisting with the launch of all leadership programmes, applications and dealing with queries from participants;
  • Establishing and maintaining good relationships and communication with facilitators, participants and speakers;
  • Administration and logistical support for leadership programmes and organisational raids including packs, joining instructions and resources for each session;
  • Assisting with programme marketing, including marketing materials, some basic copywriting; ensuring that the web site is updated;
  • Locating, booking and liaising with venues, including negotiating rates;
  • Attending leadership programme events to support facilitators and participants;
  • Responsibility for maintaining CRM records in relation to leadership programmes/raids.

The role will also involve supporting the Membership team 50% of the time through:

  • Helping members and potential members with their day-to-day enquiries regarding further engagement, bookings or registering their interests via the website;
  • Co-ordinating the new member processes and on-boarding activities from registering details to setting up first meetings and updating marketing materials;
  • Assisting with the annual membership renewal process including the design and tailoring of emails, updating data and raising invoices;
  • Providing support and information to relationship managers who support our members;
  • Working with the membership team to enhance member experience and engagement including survey work and data analysis.

The successful candidate must demonstrate the following skills and experience:

Essential:

  • Outstanding customer service skills;
  • High attention to detail and numerically confident;
  • A methodical and systematic approach, with excellent organisation skills;
  • Be commercially aware with an understanding of budgets;
  • Experience of working to tight deadlines under pressure and of running a number of different projects simultaneously;
  • Good interpersonal skills in relating to a range of stakeholders;
  • Good verbal, written and IT skills (Word, PowerPoint, Excel);
  • Willingness to work some unsociable hours (including some additional hours) on occasions when attendance at programme event days is required.

Desirable:

  • Practical experience of coordinating learning & development activities;
  • Customer relationship management/database experience (we use Microsoft Dynamics CRM);
  • Experience working in a Business to Business environment;
  • Experience working in a membership type organisation.
